Issue/Introduction

This article outlines the management of licensing folders for VMware products on the Broadcom support portal. It covers the creation, export, renaming, and deletion of the folders.

Resolution

When you purchase or renew a VMware product that requires a license key, the keys are automatically placed in the "Home" folder, which is linked to your site ID. You can access these keys on the Licensing page. For more information, Refer to Accessing VMware License folders and keys on the Broadcom support portal.

The technical contact associated with the contract will be automatically assigned to the folder. If they do not have a Broadcom account, they can register and build their profile using the site ID or Add another site ID. Alternatively, users with existing user administrator or product administrator roles for the site will also have access to license keys from all folders.

A customizable, flat folder structure can be used to organize license keys and manage user access. This structure can be adapted to your organization's specific requirements, such as creating folders for different business units, departments, or regions, all at the same hierarchical level.

  • HOME folder - When a new order is booked, the associated License key(s) will be delivered into the HOME folder, If all License keys are moved out of the Home Folder into any other desired folder, the Home folder will get auto deleted

  • Permissions -
    User Administrators, Product Administrators, or users with Manage Folders & User Permissions rights can create, delete, move, and rename folders. If you have Manage Folders & User Permissions rights to a folder, the permissions are restricted to the respective folder only and do not give you automatically access to other folders. Creating folders

  1. Choose the license key(s) you want to move.
  2. Click the ellipsis ⋮ (3 dots)  next to the search bar and select "Move License."
  3. Select "Create New folder."
  4. Provide a unique name for the new folder and click "Move."

Note on Folder Structure:
For simplified management and consistent structure, the system architecture mandates a flat folder hierarchy. All folders must be top-level; subfolders or nested folders are not permitted.


Exporting folders

To export folder data (License Key, Product Name, Quantity, Folder Name, and Contract End Date) to an Excel file:
Note: Elevated access or administrator privileges may be necessary to export All Licenses keys.

Exporting All License Keys Associated with a Site ID 

  1. Proceed to "All Licenses."
  2. Click the download cloud icon, located next to the search bar.

Exporting Keys from a Designated Folder

  1. Click the ⋮ (3-dot icon) next to the desired folder name.
  2. Select "Export to Excel."

 


Renaming folders

  1. Select a folder you wish to rename, click the ⋮ (3-dot icon) next to the folder, choose Rename Folder.


Deleting folders

Once the last key in the folder is moved out. The folder will get auto deleted.
Please note that a Folder can not be deleted with License Key(s) in it.


VCF & VVF V9 Licenses

  • Starting with version 9.0 of VMware Cloud Foundation (VCF) and VMware vSphere Foundation (VVF), you license your environment by using a VCF Operations instance and the VMware Cloud Foundation Business Services console (vcf.broadcom.com). Subscription-based license files replace the use of the 25-character license keys.

Additional Information

Change in Terminology

There will be some changes in the License Key portal terminologies beginning May 6, 2024. Below is a list of the changes:

  • In VMware systems, the term “divide” will be changed to “split” in Broadcom systems. 
    • This action is used to break up a single key into multiple keys.  
  • The term “combine” will be changed to “merge.”
    • This action will take two or more license keys and merge them into a single license key with greater quantity.
