Using the Secure Portal Account for PGP Encryption Cloud Server (Web Email Protection)

Issue/Introduction

Your client has sent you encrypted content that you access via the Secure Portal for the PGP Encryption Cloud Server.

This article will cover several highlights including the the Welcome email, Daily use of the Secure portal and Unlocking/Resetting accounts.

Check out the activity needed from the list below to walk through the process with the Secure Portal, hosted by the PGP Encryption Cloud Server:

 

Section 1 of 5: Accessing your Secure Portal inbox for the first time!

The very first email you receive will be for onboarding to the new Secure Portal inbox.

This is a "welcome" email and it looks similar to the following example. 

This example has been customized to provide good detail on what the welcome email is doing and how it works and each client can be customized:

TIP: If you didn't receive this email, check the spam folder.  Because this email has a link with special codes, some spam filters may think it's spam, when it's not.
Send this sample to your email administrator if it still goes into spam and they may be able to add it to the safe list.

The first time you access your account, a new passphrase must be set.  This will meet various policy requirements.
If the passphrase is ever forgotten, it can be reset using the "Forgot my passphrase" link.  Depending on your client's organization's password policy, 
it may not be possible to reset the password the same day you establish your new password so take special care to remember this.
Consult with your client for more details on this policy or if you run into any snags.

Once logged in, the experience is very seamless and easy to use.  Use the Secure Portal as you would any other email account.
Reply only inside the Secure Portal so that all messages will remain encrypted. 

Special Note: Because these messages are sensitive in nature, only those who are included in the original message will be able to read the content.
Replying to all will send messages to all those who are on the original email's "To" or "CC" fields.

It is not possible to add additional recipients as this may not comply with your client's policies.

Your client's security policies will ask to rotate the password periodically upon logging.  
Consult with your clients for more information on the specific policy they may be using. 

Use the secure portal to send and receive any secured content needed! 


 

Section 2 of 5: Logging in to the Secure Portal on a daily basis

Once the password for the Secure Portal has been established, ongoing access is easy.

Go to the portal for the client in question, enter the username and password, and click "Sign In".

There is a unique email code that will be emailed to the inbox of your account every time you login. 

Copy and paste this code when you login.

TIP: Copy the email code quickly, it has a short lifespan before it will no longer work.  Ideally do this within 60 seconds. 

Then once you click Submit, the Secure Portal inbox will then be available.

 


 

Section 3 of 5: Unlocking accounts in the Secure Portal

If the account ever becomes locked out, this is due to the wrong password being entered too many times.
An email with the following verbiage will appear in your inbox:

Notice step 2 of the email received, to unlock your code, you will enter your email address, and the following code:

Once the proper code is entered, the following message appears:

 


Section 4 of 5: Resetting the Secure Portal Password

Now login using your original password.   If you can't immediately login, click the "Forgot Passphrase?" link:

The following page will appear.  Enter the email address and click Submit:

Check the email account for the email that looks like the following sample:

 

When the link above is clicked, the "Reset Passphrase" prompt will appear to reset the password:

Important: There is one more step to complete the passphrase-reset process.

A unique email code will be sent to the inbox and looks similar to the following:

Once the email code is entered, click Submit to be taken to the Inbox of the Secure Portal:

If you have tried to reset your password on the same day that you set it up for the first time, your client may not allow this in policy.
Reach out to your sender to ask if this could be done or wait a day to reset if the email content is not time sensitive.
Policies can be adjusted to meet these needs. 

 

Section 5 of 5: Two-Factor Authentication Options (Email Code or Google Authenticator)

The Secure Portal uses Two-Factor Authentication (2FA) to secure the login process.
This means that after the password has been entered, the 2FA code needs to be authenticated as well.

By default, the Secure Portal uses an "Email Code", which is a random 6-digit string that will be used to login to the Secure Portal Inbox.

Once this has been authenticated, the Inbox will then be available. 

The 2FA options are configured initially when the account is first configured, but you can change the options later after successfully logging in to the Secure Portal.

On the left side, under the "Inbox", look for the Settings option:

After clicking "Settings", click "Two-Factor Authentication" from the list:

Next, the two option mentioned above are available.  If you chose "Google Authenticator", leave the option checked.
If not, uncheck the box and click save to use only the Email Code to login to the Secure Portal:  


With the configuration options above, only the Email code will be sent.
TIP: The email codes are good for only 10 minutes, so use them quickly to login to the secure portal!
