Issue/Introduction
This document provides instruction on how to hide or display each document status option under "Search for documents in these statuses" on the Advanced Knowledge Search screen.
Each status search option is set by a Role setting. You can change the options by following the below steps.
Log into Service Desk using the Service Desk Administrator account and open the [Administration] tab.
Go to 'Security and Role Management' > 'Role Management' > 'Role List'.
Open the Role you would like to change the Search Option, and click on <Edit> button.
Open the [KT Document Visibility] tab under the [Knowledge Management] tab.
Turn off/on the Status options, "Draft", "Retired", and "Published- before Start Date" under 'Knowledge Document Visibility' as required.
If you want to hide the status "Draft" from Knowledge Search Status, turn off the "Draft" status option from Knowledge Document Visibility. Similarly to hide "Retired", turn off the "Retired" option. For the status "Not Started", turn off the status option "Published - before Start Date".
Save the Role setting.
Log into Service Desk using a user account that uses the role modified in step 5. Open [Knowledge] tab and click on <Advanced Search>.
The "Search for documents in these statuses" option is no longer visible. If we search for documents, only Published Documents will be displayed.
