Issue/Introduction

This document outlines the essential procedures for reserving and managing VMware Hands-on Labs (HOL) events, including registration requirements, attendee pre-registration, and event-day access guidelines.

Resolution

Requirements:

• Register your event as early as possible to avoid blackout periods and provide at least three days' advance notice
• Maximum capacity per event is 25 users
• Max, 8 hours per lab
• Use Google Chrome for all set-up and lab access
  Note: Creating multiple events during the same time frame may result in your event being cancelled

Instructions for reserving your event to ensure lab availability:

1. Register your event as early as possible using the Request Portal (request.hol.vmware.com). Why register in advance?
   
   Capacity: Reserves dedicated resources for your specific event.
   Pre-population: Labs are "warmed up" and ready to go when attendees arrive.
   Landing Page: Generates a custom URL for direct access to your reserved labs.
   Reporting: Provides usage data after your event concludes.

2. Pre-Register your attendees
   
   We recommend reaching out to attendees before the event to confirm their HOL registration. Refer to VMware Hands-on Labs (HOL) Access Request Workflow for the latest instructions to share with your group.
   
   
3. Accessing the labs on event day
   
   On the day of the event, share your custom Landing Page Link with attendees (see screenshot below for location of landing page link).

• Labs go live at the exact specified start time in your registration and end at the exact time specified.
• Avoid using the public portal (labs.hol.vmware.com), as it may result in a suboptimal "wait time" experience for your users and large groups of unreserved users may have their labs ended without notice.
• Click on My Events and View Landing Page to access to the labs that are reserved for your event.
