Configuring SMTP and the "Invite new users via email" feature in EAR (Elastic Application Runtime)

Issue/Introduction

An official document describes how to configure the “Invite new users via email” feature in EAR (Elastic Application Runtime).

However, customers may require a more detailed, step-by-step procedure before they can successfully configure SMTP and enable the invitation feature.

This article provides a comprehensive guide for configuring SMTP and enabling the “Invite new users via email” feature in EAR (Elastic Application Runtime).

Resolution

1. Refer to this document to configure SMTP and e-mail notifications in EAR.

2. Go to Ops Manager UI > EAR tile > Apps Manager page and select the "Allow invitations to Apps Manager" checkbox.

3. Go to the apps manager UI and the org page. In the panel on the left side of the screen, click Members. Click Invite New Members. 

4. The Invite New Team Member(s) form appears as follows. 

1. In the Add Email Addresses text box, enter the email addresses of the users that you want to invite. Enter multiple email addresses as a comma-separated list.

    

2. The Assign Org Roles and Assign Space Roles tables list the current org and available spaces with check boxes corresponding to each possible user role. Select the check boxes that correspond to the permissions that you want to grant to the invited users.

    

3. Click Send Invite. The Apps Manager sends an email containing an invitation link to each email address that you specified.

5. Once the invite is sent successfully, an e-mail containing the invitation URL and code would be sent to the e-mail address set in the step 4. The e-mail content looks like the following.

6. Access the invitation URL with the code in a browser, the invited user would need to set a password and click Create Account.

7. Once the password is set successfully, "Invitation accepted. Login to access your account." message will be displayed in the screen.

8. Click Sign In. The invited user will be redirected to the Apps Manager UI and will be able to view the resources for which they were granted access when the invitation was sent.
