Issue/Introduction

The catalog items synchronized from Aria Automation does not display their associated icons within the ServiceNow catalog.

Environment

Aria Automation 8.18.x

Cause

The MID Server user, which executes transactions and REST API calls for pushing/pulling data between Aria Automation and ServiceNow, has insufficient permissions. The default mid_server role is not adequate for attaching files (including icons) to the ServiceNow Catalog Item table. Although the initiating user might have administrative privileges, the file attachment operations occur within the context of the MID Server user, which lacks the necessary access to catalog item tables for attachment-related operations.

Resolution

To resolve this issue, the MID Server user requires additional permissions to interact with catalog item tables and perform attachment-related operations.

Steps to Resolution:

  1. Identify the MID Server user: Determine the specific user account configured for your ServiceNow MID Server.
  2. Assign Additional Role: Assign the following role to the identified MID Server user in ServiceNow:
    • x_vmw_cloudservice.vra_catalog_admin
    • This role should be assigned in addition to the existing mid_server role.
  3. Verify: After assigning the role, trigger a new synchronization or verify existing catalog items to confirm that icons are now correctly displayed in the ServiceNow catalog.
