How to Assign, Reassign, and Remove accounts from FlexOrgs

Issue/Introduction

Account assignment to Organizational Units (OUs) or FlexOrgs as they are also known have a number of differences when compared to Classic Organizations.

The below will run through a number of scenarios encountered when assigning accounts to OU/Flex Orgs

  • Assigning a newly added account to an OU/Flex Org
  • Reassigning accounts from OU/Flex Org to OU/Flex Org
  • Removing accounts from an OU/Flex Org

 

Assigning a newly added account to an OU/FlexOrg

Accounts can be assigned to an OU/Flex Org by navigating to Setup -> Admin -> FlexOrgs.

As this account has recently been added it won't belong to any existing OU/Flex Org. Assigning the account to an OU/Flex Org will assign it to all OU's/FlexOrgs that sit above the OU/Flex Org targeted in the hierarchy.

 

  1. Within this section select the OU/Flex Org you wish to deploy the account to, and select the account tab:



  2. Select the Assign Accounts option to begin assigning accounts -
  3. Within the window displayed select the accounts you wish to assign to the OU/Flex Org and select the Assign button.


  4. Following the assignment, you will see the account displayed under the OU/Flex Org:



  5. Note that in addition to "Flex Org A.1", "Account A" has also been assigned to "FlexOrg A" which sits above it in the hierarchy with the account also residing in the Top Level Organizational Unit "Demonstration Flex Org" -

 

Reassigning accounts from OU/Flex Org to OU/Flex Org

Accounts can be reassigned from OU/Flex Org to OU/Flex Org by navigating to Setup -> Admin -> FlexOrgs.

As the account has already been assigned to an OU/Flex Org we will first need to remove it from the existing OU/Flex Org. There are two examples we will run through below, 

 

Reassigning accounts between OUs/FlexOrgs at different levels of the hierarchy

Accounts can only be assigned to one level of the hierarchy using the example OU/Flex Org setup below, this would mean that any Account assigned to "Flex Org A", or "Flex Org A.1" could not be assigned to "Flex Org B", or "Flex Org B.1", "Flex Org B.2" "Flex Org C".



In order to reassign an account from "Flex Org A.1" (and "Flex Org A") to "Flex Org B" you would need to take the following steps:

  1. Select "Flex Org A", as "Flex Org B" sits at the first level of the hierarchy the assignment to "Flex Org A" will need to be removed as both share the level.



  2. Remove the account by selecting the account under the accounts tab for "Flex Org A" and then select the "Remove" option under Bulk Actions. This will free the account up so it can be assigned to "Flex Org B".




    Note: If we simply removed the account from "Flex Org A.1" the account would still be assigned to "Flex Org A" and wouldn't be available for assignment to "Flex Org B".

  3. Select "Flex Org B", and then select the "Assign Accounts" option select "Account A" from the list and select Assign 




  4. "Account A" will now be assigned to "Flex Org B" - 

 

Reassigning accounts between OUs/Flex Orgs at the same level of the Hierarchy

It's important to note an account can only exist within one OU at each level of the hierarchy, as an example this would mean that an account assigned to "Flex Org B" could only then sit in either "Flex Org B.1" or "Flex Org B.2" if assigned to "Flex Org B".



In order to reassign "Account B" from "Flex Org B.1" to "Flex Org B.2" you will first need to remove the account from "Flex Org B.1" so it can be reassigned to "Flex Org B.2".

 

  1. Select "Flex Org B.1" and select "Account B" from the list under the account tab, selecting Remove from the Bulk Actions list -



  2. This will leave "Account B" assigned to "Flex Org B" and allow it to be assigned to "Flex Org B.2" 



    Note: An account must exist at the level above the OU/Flex Org that you are trying to assign the account to in this case "Flex Org B".

  3. Select "Flex Org B.2" select Assign Account, and select "Account B" from the list clicking Assign. This will result in "Account B" being assigned to "Flex Org B.2".

 

Removing accounts from an OU/Flex Org

When removing an account from an OU/Flex Org you must keep in mind that this will not remove the account from the OU that sit above it in the hierarchy.

Using the example FlexOrg set again If an account was removed from "Flex Org B.1" the account would still be assigned to "Flex Org B".

This does however mean if an account is removed from "Flex Org B" it will also be removed from "Flex Org B.1" or "Flex Org B.2" if present. 


To remove an account from an OU/Flex Org follow these steps:

1. Select the OU you wish to remove the account from, and navigate to the accounts tab

2. Select the account(s) from the list, and select the remove Bulk Action option

3. The account will be removed from the OU and no longer be displayed under the list in the account tab.
