Issue/Introduction

On some occasions, users find that they need to check in files that are flagged as checked out by another user either because the user had forgotten to check them back in or occasionally a file might get flagged erroneously as checked out to another user after an IDE application crash. In order to be able to check the files back into the system either by another user or another client path please follow the below steps.

Environment

Harvest Software Change Manager v12.5 and higher

Cause

When checking out a file, Harvest keeps track of the user who performed the check out and the computer and folder name to which the file was deployed.  The easiest way to see this information is using the Check In process in Workbench.  For example:

If a situation arises where the client machine has crashed or has been reimaged, or the user checking in the file has left the company or is on vacation, resolving the corresponding "R" tag can be challenging.

Resolution

The easiest way to resolve this type of situation is to perform a "Delete Version" process on the "R"-tagged version.  At that point a new user can check out the file make the needed changes and check it in.

If the file changes are accessible by another user, and the file simply needs to be checked in by a different user or from a different location, the way to do this is to:

  1. Open Workbench on the computer where the file to be checked in is found, and navigate to the project and state containing the package with the "R" tagged file(s).

  2. Right click on the state and select the "Check In" process.

  3. In the upper half of the window, provide the information about the package, the "From" folder (where the file is to be checked in), the "To" folder (where the corresponding folder is in the Harvest repository), Option and Filter settings.  Then click the green plus (+) icon next to the list box

  4. Click the "Find" button, select the file to be checked in, and click "OK"

  5. Back on the main window, click "OK" to complete the check in process
