Question
How do I upgrade or renew a Software License to cover later version?

Answer
Steps to upgrade Software License

  1. Go to the Software License list page.

Software license list page can be opened in two ways:

  • Go to ‘Home > Service and Asset Management > Software Licensing’ and select ‘Software license’.

  • Or, navigate to ‘Manage > Software’ and select ‘Software License’ under the ‘Software Licensing’ folder.

 

    2.     Select an instance of software license from the list displayed in right hand pane and go to ‘Contract Functions > Upgrade Software License’ via context menu.

     

    3.     In the ‘Upgrade an existing Software license’ web page dialog, enter the name of new license, select software product in ‘Covered Software Product’ association and one or more software purchases

             in ‘Software Purchases’ association and save changes. User can enter information in other data classes (‘Software License Details’ and ‘Standard Contract Information as required)

Note:

    • The selected software product while upgrading a software license must be different from the original software product.

    • The quantity of the selected software purchase needs to match the given software license's purchased quantity. Currently, partial upgrade is not supported.

    • User can create new software purchase by clicking on ‘Create new Software purchase’ in the web page dialog

  Example

Select a Word license (‘Word License 1’ selected) for upgrade. In the ‘Upgrade an existing software license’ web page dialog, select one or more software purchases so that the purchase quantity is equal to the total number of licenses that are associated to the original license being upgraded. Select a new software product in ‘Covered Software Product’ association and click on ‘Ok’ button.

A new instance of software license is created with name as entered during upgrade.

The ‘End date’ of original license is set to yesterday’s date (means that the original license is set to ‘expired ’). The new licence is created with ‘Start date’ set to today’s date.

A record appears in both original license instance as well as the newly created upgraded software license showing the upgrade history.

E.g. opening the edit page of original license (‘Word License1’ in above mentioned example) shows the upgrade information in association ‘New Software License (if renewed/ upgraded).

Similarly, the edit page of new license created after upgrade shows the upgrade information in association ‘Former Software License (if renewed/ upgraded).

Note: A software license can be upgraded/renewed only once. The context menu options ‘Upgrade Software License’ and ‘Renew Software License’ do not appear for already upgraded/renewed licenses.

         In 7.0, partial upgrade is not supported.

How to renew a Software License
  1. Go to the Software License list page.

  4. In the ‘Renew an existing Software license’ web page dialog, enter the name of new license, select one or more software purchases in ‘Software Purchases’ association and save changes.   5. Note:

      • The quantity of the selected software purchase needs to match the given software license's purchased quantity. Currently, partial renewal is not supported.
      • User can create new software purchase by clicking on ‘Create new Software purchase’ in the web page dialog.

Examples:

Select a software license (‘test license’ selected) for renewal. In the ‘Renew an existing software license’ web page dialog, select one or more software purchases so that the purchase quantity is equal to the total number of licenses that are associated to the original license being renewed and click on ‘Ok’ button.

A new instance of software license is created with name as entered during renewal process.

The ‘End date’ of original license is set to yesterday’s date (means that the original license is set to ‘expired ’). The new licence is created with ‘Start date’ set to today’s date and ‘End date’ as entered during renewal.

A record appears in both original license instance as well as the newly created software license showing the renewal history.
